Before you begin your Conference registration, please ensure you read the following as changes have been made.

These instructions and guidelines will assist with completing your registration but should you require assistance during this process, please contact the ACNP staff by emailing admin@acnp.org.au or by calling 1300 433 660. Have your ACNP member number to hand! To locate this, you will need to Log into the ACNP website https://www.acnp.org.au/members-login. Go to the 'My Memberships' tab and find your member number under 'Current Memberships'.

  • Please ensure you read and consent to the ACNP privacy policy at the start of the registration process.
  • Please ensure you read and agree to the ACNP terms and conditions at the end of the registration process.

Useful event information

  • Please note the in-person attendance tickets include the below as part of the conference pricing.
  • Attendance at conference over 3 full days (including all free social activities, welcome reception & gala dinner).
    • Access to the Exhibition Hall, including poster display and catered breaks.
    • Unique name badge / QR contact profile.
    • Access to Conference App.
    • Electronic copy of the program 
    • Access to conference app 
    • E-satchel inserts
    • Access to virtual portal including online conference (in real-time for all plenaries and main track of concurrent presentations), e-satchel insert, streamed presentations and additional conference content.
    • Access to select conference content for future on demand viewing (this content will be determined closer to conference date and is not necessarily guaranteed. While we live stream the main track, we do not always record due to privacy requirements)

** Please note there is an option to convert your ticket to a full in-person registration (subject to availability) without incurring a late fee if booked by 30 September. The difference in ticket type is required to be received by ACNP no later than 30 September to be accepted.

  • Any activities, outside of the above inclusions, may come at an additional cost and will be sold separately to the above. These will be sent to registered delegates as and when they are made available.
  • ACNP will be donating $5.00 for each registered delegate to our chosen charity partner of 2024 (TBA). Delegates have the option to match ACNP’s donation at time of registration and at conference entry. Please kindly consider this option during the registration process. 
  • All information you enter should be typed in upper and lower case format eg. John Smith / Jane Doe. We request you follow this format as this is what will be pulled from the system for any name badges, printing etc.
  • If you are registering a group, or for someone other than yourself, please enter the attendee's email address in the email address field when completing their ticket request. This ensures they receive any conference communications and marketing in the leadup to November.
  • We would recommend you using browsers such as Internet Explorer, Google Chrome or Microsoft Edge as we have had the most success troubleshooting issues, should they occur. These site are most familiar to our staff.
  • An automated email confirmation will be sent to the nominated email address upon completion of the registration and payment process. Should you not receive this email within 15 minutes, please firstly check your spam/junk folders. We suggest you mark emails from our accounts -  events@acnp.org.au, admin@events.com.au and accounts@acnp.org.au as safe senders in your chosen email to ensure you receive all Conference communications, marketing and invoicing leading up to the event. If you email is not there, please contact our office for further assistance.
  • You will have the opportunity to review and edit your registration details before the final stage of confirmation and payment, as well as any time leading up to the event. Please note that any changes made after 30 September, your changes may not reflect in any printed materials, however they will update digitally.

Payments

  • All prices are in Australian dollars (AUD) and include GST.

  • Please note our registration system accepts credit card and debit card. Accepted cards are Visa & MasterCard. 

    • Visa & MasterCard - 0% processing fee - ACNP are absorbing the merchant fee on behalf of delegates when using their debit / credit card.

  • If you require a copy of your receipt, please kindly send a request to accounts@acnp.org.au with the following information: Full name of delegate, Email address of delegate & Conference Booking ID.

  • Please note payment of registrations are due at time of booking. For workplaces and group booking, full payment of invoice is required before registrations will be confirmed. Invoices terms of payment are within 14 days of receipt. If full payment is not received prior to the event, delegates will not be permitted to attend.

Additional activities / Conference offerings

  • You have the ability to log back into your Conference profile any time to new and additional activities / conference offerings. Simply sign into the Conference website with your existing details. Access the Account tab and enter your log in details. From the Summary page, select Edit on the relevant line to navigate to the desired page. Here you can select the tickets you wish to add and continue to the Summary page. If a payment is required, a payment page will be made available to confirm your booking. The balance amount will be shown. Please note that additional activities are subject to availability, and we encourage you to book early to avoid disappointment.

PRIVACY POLICY

 

Australian College of Nurse Practitioners (ACNP) is strongly committed to protecting your personal information when you interact with us, our content, products and services. This Privacy Policy details how we keep this commitment and how we comply with the Australian Privacy Principles.

 

ACNP is bound by the Australian Privacy Principles in the Privacy Act 1988. We follow the guidelines of the Australian Government Office of the Privacy Commissioner (OPC) in the collection, handling, use and disclosure of personal information. The purpose of this privacy policy is to:

  • clearly communicate our personal information handling practices
  • enhance our transparency, and
  • give individuals a better and more complete understanding of the sort of personal information that ACNP holds, and the way we handle that information.

Part A — Personal Information Handling Practices

Why we collect personal information

ACNP only collects personal information for purposes which are directly related to our functions or activities and only when it is necessary for or directly related to those purposes.

ACNP collects personal information because:

  • an individual has provided it to us, for instance if an individual register to attend an ACNP event, join as a member, contacts us to participate in social media forums, make complaints or to ask us questions about our services;
  • we need it to provide a product or service that an individual has requested, for instance, if they subscribe to an email list or, enter a competition, or purchase products from ACNP or register for or attend an ACNP event;
  • we would like to improve our services, for instance through the collection and analysis of statistical and research data and use of cookies (see below);
  • an individual works for us or applies to us for a job or scholarship.

How ACNP collects information when an individual use written or a digital service (including online and mobile services)

There are two types of information or data ACNP collects:

  1. Information that an individual gives us directly such as when they are filling in a form or when they sign up to a service or event online or in writing. This type of information may include an individual’s name, email address or other personal information.
  2. Information which tracks an individual’s activity such as personal information collected automatically to monitor the use of our online and mobile services, like the numbers and frequency of visitors to ACNP’s website. This helps us identify what users of our site are most interested in and it can also help us identify if there are any problems that need fixing. Most of the data we collect is aggregated, and this information is effectively anonymous to us.

In some cases, we may collect data that can be linked to a user individually. For example, when an individual log in to the Corporate Partner website as an ACNP member, we may store records of information such as the pages viewed, or links clicked on. Similarly, if an individual uses our email newsletters, we may collect data about the mailings they open and the links they click on.

We use Google Analytics, a US-based service, to analyse browsing information and produce reports on how visitors use our website. Google may transfer this information to third parties where required to do so by law, or where such third parties process the information on Google's behalf. Google will not associate your IP address with any other data held by Google. You can opt out of the collection of information via Google Analytics by downloading the

When engaging with our social media content you can choose to not identify yourself by using a pseudonym.

How we use personal information

  • We only use personal information for the purposes for which we collected it - purposes which are directly related to one of our functions or activities.
  • We do not give personal information about an individual to anyone else unless one of the following applies:
  • The individual has consented to the disclosure,
  • The individual would reasonably expect, that information of that kind is usually disclosed to individuals, bodies or agencies (to provide the service you wish to use, for example disclosure of name and address to a third-party publisher to facilitate your receipt of ACNP printed materials),
  • Disclosure is required or authorised by law or is reasonably necessary for the enforcement of the law, or
  • Disclosure will prevent or lessen a serious and imminent threat to life or health.
  • ACNP is assisted by a variety of third parties to deliver the services we offer. These third parties change from time to time and include technology service providers for Internet, App services, cloud service, publishing and printing services. These third parties may be in Australia or overseas locations, including but not limited to Singapore and the USA.
  • Wherever possible, ACNP imposes contractual restrictions equivalent to those imposed on the ACNP under the Privacy Act in respect of collection and use of personal information by those third parties.
  • ACNP will obtain an individual’s specific consent prior to disclosing information for the purposes of direct marketing of the ACNP’s services. An individual will be able to opt-out of direct marketing at any time if they so choose.
  • Under no circumstances will ACNP sell or receive payment for licensing or disclosing an individual’s personal information.

Data quality

We take steps to ensure that the personal information we collect is accurate, up to date and complete. These steps include maintaining and updating personal information when we are advised by individuals that their personal information has changed, and at other times as necessary.

 

Security of personal information

ACNP takes steps to protect the personal information we hold against loss, unauthorised access, use, modification or disclosure, and against other misuse. When the personal information that we collect is no longer required, we destroy or delete it in a secure manner.

All credit card details are only stored and transmitted in encrypted form. Unencrypted credit card information is NOT stored on our internet servers.

Online credit card payments are currently processed using a third-party payment gateway service run by E Way. E Way provides a plastic card industry data security scheme compliant payment gateway service to ACNP that is used to securely process customer payments.

Credit card information is never stored in a cookie.

If an individual use their credit card and the transaction is manual rather than electronic, the record will be stored by ACNP for the period that financial records are required to be retained following which it will be destroyed in a secure manner.

There are inherent risks in transmitting information across the internet and we do not have the ability to control the security of information collected and stored on third party platforms. In relation to our own servers, we take all reasonable steps to manage data stored on our servers to ensure data security.

 

 

Part B – Contact ACNP

Accessing personal information

Individuals can access the personal information that we hold about them, and they can ask us to correct the personal information we hold about them.

ACNP will take reasonable steps to make appropriate corrections to personal information so that it is accurate,  complete and up-to-date unless we consider that there is a sound reason under the Privacy Act or other relevant law to withhold the information, or not make the changes.

If ACNP does not agree to make requested changes to personal information an individual may make a statement about the requested changes and ACNP will attach this to the record.

If an individual is listed on our network or email lists, they are given the opportunity to opt out at any time. An individual can unsubscribe by using the ‘unsubscribe’ options noted in our emails.

 

Complaint Handling Processes

An individual may complain to ACNP about the way we handled their personal information. A complaint should be handled in a timely manner and, where appropriate, resolved quickly and informally. Complaints about ACNP actions should be made in writing. On receipt, the complaint is referred to the ACNP President.

A complaint received should always be examined to see whether ACNP acted appropriately. If not, it may be appropriate to provide an explanation or apology. If further action is deemed to be required, the matter may be referred to the ACNP Board for consideration. All responses to complaints will be made in writing.

Under the Privacy Act an individual can make a complaint to the Office of the Australian Information Commissioner about the handling of their personal information by private sector organisations covered by the Privacy Act.

Charity Partner - Precious Wings.

ACNP will be donating $5.00 for each registered delegate to our chosen charity partner - Precious Wings.

At Precious Wings are passionate about helping families who are faced with the devastating loss of their child. They supply Memory Boxes to hospitals across Queensland, which are given to families who lose a baby, of any gestation, and to families who lose a child up to the age of 16, regardless of cause of death. They also supply miscarriage memory bags to early pregnancy units and emergency departments and provide free education sessions to hospital staff about caring for bereaved families.

Recently, they have started donating memory boxes to families where an adult is dying or has died, especially if there are children involved.

Events: Booking Terms and Conditions 1.       Registrations Confirmation: Upon receiving your registration, a confirmation email will be sent from the College to your provided email address. After the confirmation email is sent to the email you provided your registration is valid for the purposes of cancellations, transfers and payments. A second email of confirmation is sent approximately five days prior to the Conference. Please note that occasionally there will be important changes to a workshop or event information included in this email. Invoices and Receipts: Tax invoices are generated at the time of registration and are sent with the confirmation email address to the individual or nominated contact of a group booking. The attendee is responsible for the forwarding of invoices onto their accounts department or relevant manager. 2.       Cancellation, Amendments and Refund Policy All cancellations and amendments must be sent in writing via email to the ACNP Accounts team accounts@acnp.org.au Substitutions: Due to the financial limitations of the cross over between ACNP software and Events organisation software, ACNP cannot facilitate a straight swap in tickets. Should you no longer be able to attend conference, you will need to contact the ACNP to arrange a refund (accounts@acnp.org.au) and release your ticket. Please note that you are unable to nominate a recipient for your ticket purchase. If you are a corporate organisation with multiple ticket purchases, please contact our office directly for assistance on 1300 433 660. Refunds: The ACNP requests notice of cancellation (less any credit card transaction fees) to be submitted to accounts@acnp.org.au no later than 30 August 2024. Cancellations made after this date will incur an administration fee of 25% of the registration fee. Converting an In-Person Registration to a Virtual Registration: If you are unable to attend in person and would like to convert your registration to a Virtual one, please email events@acnp.org.au no later than 30 September 2024 to avoid being charged any late fees. The difference in registration costs will need to be received by the ACNP no later than 30 September 2024 to be applied. 3.       Changes The College reserves the right to make changes to event dates due to registration numbers. If the Conference is cancelled, you will be notified via email and your registration will be transferred to the next available Conference date or be fully refunded. The College reserves the right to make program content changes in events or workshops. The College reserves the right to make changes to a published program without notice, however, where possible notification of changes will be made. 4.       Payment Your registration is not valid if not fully paid before the stipulated dates. Please note this registration system accepts online credit card payment using the following credit cards: Visa and MasterCard. If you require invoice, please email accounts@acnp.org.au PRIOR to starting the registration process. Please include the delegates full name, delegates email and conference ID. Should payment be received after the closing of discounted rate periods, the default cost of the ticket reverts to the current pricing level. The College’s terms of payment are within 14 days from date of invoice. Payments can be made using the following methods: 1.    Credit Card Payment is to be made online at the time of registration. For any difficulties, you can contact the office for further assistance on 1300 433 660 2.    EFT For all EFT payments, please send a remittance advice with payment details to accounts@acnp.org.au Payments can be made to: Bank: Westpac Account Name: Australian College of Nurse Practitioners BSB: 034-041 Account Number: 379884 Reference: Invoice number 5.       Insurance Registration fees do not include insurance of any kind. It is strongly recommended that all delegates take out their own travel and medical insurance prior to coming to the ACNP National Conference 2024. The policy should include loss of fees/deposit through cancellation of your participation in the meeting, or through cancellation of the Conference itself, loss of airfares for any reason, medical expenses, loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The Conference Organisers, ACNP, will take no responsibility for any participant failing to insure. Please speak to your travel agent or airline in regard to this matter. 6.       Disclaimer The Conference Program and registration information is correct at the time of printing. However, the organisers reserve the right to change the information where necessary without notice. Delegates attend the conference at their own risk. The Australian College of Nurse Practitioners (ACNP) are not liable for any losses, damages, expenses, costs, claims or liabilities suffered or incurred by registrants including consequential or indirect losses or loss of profit through registering for the conference, attending the conference, cancellation of the conference, failure of the conference to achieve your expectations, or for any error or omission by ACNP. The ACNP will not accept liability for the damages of any nature sustained by participants or their accompanying persons or loss or damage to their personal property as a result of the ACNP National Conference 2024 or related events. 7.       Force Majeure ACNP shall not be held liable for any loss caused by the cancellation of the conference where such cancellation is due to Force Majeure. The organisers will use all reasonable efforts to conduct the conference despite the intervention or occurrence of any such cause. In this clause, Force Majeure means circumstances which are beyond the reasonable control of the all involved parties, and which are reasonably likely to affect the successful delivery of the Event or would make it inadvisable, impracticable, illegal, or impossible for a party to perform its obligations as originally contracted under this Agreement, including: fire, flood, earthquake, extreme adverse weather conditions, failure of electric power, gas, water, or other utility service, collapse of building structures, widespread disease or other public health emergency (including pandemic or epidemic), strike or other industrial action, the outbreak or declaration of war, act of terrorism, revolution or government orders or action (including the declaration of a State of Emergency). Without prejudice to its obligations ACNP accept no liability and will not be liable for any compensation where the performance of its obligations under this Agreement is affected by Force Majeure. 8.       Privacy and Security Policy The College collects information as required in order to administer and manage registrations for our events. If you do not provide all the relevant information including your email address your registration may not be confirmed. The College is totally committed to protecting the information collected for this purpose and will not make your details available to any third party in any instance. If you wish to access your information or have queries in relation to the way the College handles this information, please contact us on 1300 433 660. ACNP considers the security of your information to be of paramount importance. When you pay your membership fees or register for an ACNP program, our secure server uses SSL (Secure Sockets Layer) to connect to our website, which encrypts all the information sent from your device. The following indicates that you have entered a secure session: 1.       the "https" in place of the usual "http" in your browser address box 2.       the small padlock at the foot of your browser Both secure indicators will be present when you are requested to enter your credit card details. InstantSSL Certification ACNP has an InstantSSL certificate. This identifies ACNP as a secure environment in which you can transact. To view details of our security certificate, please click on the padlock in your browser footer.  ACNP’s payment gateway is 'eWay', which uses 128-bit DES encryption right through to the banks' EFTPOS networks where credit card transactions are automatically processed. You can obtain further technical information about our payment gateway by visiting our supplier's site: www.eway.com.au. Throughout events, the College will take photos to be used in future marketing materials. Please advise staff by emailing events@acnp.org.au if you would not like your photograph taken.
